1. Who We Are

This website is operated by the organizing committee of Cars for Cops & Kids (also known as “Cars for Cops & Kids”), a community car show hosted by the Rotary Club of Glendale in partnership with the Dad's Club of Verdugo Woodlands and the Glendale Police Department. This is not an official City of Glendale website.

2. Information We Collect

We collect information in the following contexts:

  • Vehicle Registration: Name, email address, phone number, vehicle year/make/model, vehicle category, and any notes you include. Payment information is processed by a third-party payment processor and is not stored on our servers.
  • Sponsor & Partner Inquiries: Name, business name, email address, phone number, and sponsorship tier interest. Additional business details you choose to share.
  • Volunteer & Vendor Applications: Name, email address, phone number, and relevant availability or interest details.
  • Contact Form: Name, email address, optional phone number, topic, and the content of your message.
  • Newsletter Sign-Up: Email address and optional name.
  • Website Analytics: Aggregate, non-personal usage data such as page views, referral sources, and device type, collected via a third-party analytics service.

3. How We Use Your Information

We use collected information to:

  • Process vehicle registrations and communicate event logistics (placement instructions, load-in times, updates).
  • Respond to sponsor, vendor, volunteer, and general inquiries.
  • Send event announcements and newsletters to subscribers who have opted in.
  • Publish winner names, vehicle makes/models, and award information on the website and in event materials. We do not publish personal contact details.
  • Improve the website and plan future events using aggregate analytics data.

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4. Photography & Video at the Event

Cars for Cops & Kids takes place in a public park and is a publicly advertised event. By attending, registering a vehicle, volunteering, or participating in any capacity, you acknowledge that photography and video may be taken in and around the event grounds by the organizing team, sponsors, media representatives, and other attendees.

Images and video may be used for event documentation, website content, social media, press releases, and future promotional materials without additional notice or compensation. If you have a specific concern about an image, please contact us at info@carsforcopsandkids.com.

5. Third-Party Services

We use the following categories of third-party services, each subject to their own privacy policies:

  • Web Hosting & Infrastructure: Our website is hosted on a cloud infrastructure provider. Server access logs may be retained for security purposes.
  • Payment Processing: Registration fees and donations are processed by a PCI-compliant payment processor. We do not receive or store full payment card numbers.
  • Email Delivery: Transactional and newsletter emails are delivered via a third-party email service provider.
  • Analytics: We use an analytics provider to understand aggregate website traffic. Analytics data is not linked to personally identifiable information.
  • Mapping: Event Info pages embed Google Maps for location display. Your use of that embed is subject to Google's Privacy Policy.

6. Cookies

This website may use cookies and similar tracking technologies for session management and analytics. A “cookie” is a small text file placed on your device by your browser. You can configure your browser to refuse cookies or alert you when cookies are being sent; however, some features of the site may not function properly without them.

We do not use cookies to collect personally identifiable information beyond what you voluntarily provide through forms on this site.

7. Children's Data

This website is not directed to children under 13 years of age and we do not knowingly collect personal information from children under 13. Minors who register a vehicle or participate in any capacity should do so under the supervision of a parent or legal guardian. If you believe a child under 13 has submitted personal information to us, please contact us at info@carsforcopsandkids.com and we will promptly remove it.

8. Data Retention

We retain personal data only as long as necessary to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Registration records may be retained for up to three years after the relevant event for accounting and reporting purposes. Newsletter subscribers remain on our mailing list until they unsubscribe.

9. Your Rights & Data Deletion Requests

Depending on your jurisdiction, you may have rights to access, correct, or delete personal data we hold about you. California residents may have additional rights under the California Consumer Privacy Act (CCPA).

To request access to or deletion of your personal data, email us at info@carsforcopsandkids.com with the subject line “Data Request” and include your full name and the email address associated with your submission. We will respond within 45 days.

We take reasonable technical and organizational measures to protect personal information from unauthorized access, disclosure, or loss. However, no method of transmission over the internet or method of electronic storage is 100% secure. We encourage you to be careful about what information you submit online.

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will reflect any changes. Continued use of this website after any change constitutes your acceptance of the revised policy. We encourage you to review this page periodically.
